Terms & Conditions

Management

Empowerment for all aspects of the site operation lies with the Wardens. We reserve the right to refuse or terminate the stay of any person(s) creating a nuisance to others.

Bookings & Cancellations

It is not always necessary to book in advance in low season. It does, however, enable the wardens to ensure the correct pitch is ready for your arrival. There is a 2 night minimum for pre-booking.  If you require only 1 night, we are unable to pre-book, but you are welcome to pay on arrival at the Park.  Please note that space is not guaranteed for this option, but you can check availability by giving us a call prior to your visit. During the high season, it is essential to book in advance to guarantee a pitch.

A deposit of £50 (or the full payment if lower) will be required at the time of booking. For stays of upto 14 days the deposit is £100, and for stays of upto 21 nights the deposit is £150 etc etc. The balance is then payable 6 weeks before your arrival. If you cancel your booking, charges will apply. If cancelled 42+ days before arrival the deposit will be forfeited, if you cancel within 41 days of your arrival date, the cancellation charge is 100%, minus any ferry bookings made.

The park are not liable for refunds or expenses incurred in the event that we are prevented from fulfiling your booking as a result of circumstances beyond our control.  Such circumstances shall include (but not be limited to) war, terroism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, pandemics, health risks or similar events ("Force Majeure")

To cover for unknown eventualities, before and during your holiday, we strongly recommend guests take out comprehensive travel insurance. Unless the park is notified of a non-arrival, the management reserve the right to re-let the pitch the following day. Should a customer wish to curtail or cut short their holiday for whatever reason, partial refunds for unused days will not be given. Should the park decide that a pitch is unsafe or unusable during your stay, every effort will be made to move guests to a suitable pitch. Should this not be possible, the park will issue a partial refund.

We regret that we are unable to accept bookings from single sex groups of more than 3 people without prior agreement from the booking office. Failure to advise of the correct party details prior to arrival will result in your booking being cancelled and no refunds given. 

Payment

We accept credit or debit cards, and also payment by bank transfer (details available on request)

Ferry Bookings

An administrative charge of £10 will be made to alter any ferry bookings after original acceptance. Your ferry e-ticket will be emailed or sent to you 2 weeks before your arrival.

Arrival

On arrival at Heathfield Farm Camping, all guests are required to check-in at reception before pitching using the designated check in lane. All fees are to be paid for in advance of pitching. Please inform us when making your booking of any special requests regarding location as it is very possible that the changing of pitches on arrival is not permitted. There are site management issues and safety standards which also have to be met, and guests are required to follow the Warden's direction when pitching. This is for the safety and well being of all guests. In exceptional circumstances due to poor ground conditions there may be a situation where a certain pitch may not be available. The Warden's will endeavour to find an alternative pitch. If this is not possible due to heavy demand a full pitch refund will be given. Any extra or additional vehicles, other than those on the booking, are subject to an additional nightly charge. Dependant on pitch size and space, for safety reasons, extra vehicles maybe required to park in our visitors parking area for the duration of the stay.

Pitches

We are unable to accommodate tents larger than 40sq metres except by special arrangement. All units, including guy lines, must be 3 metres apart. This is a required by law as a precaution against fire. Vehicles can be parked between units, provided that a 1.5 metre clear space is left within the 3 metre gap. Pitches are available from 12.00 noon on the day of arrival. We do not accept arrivals after 7.30pm. The site must be vacated by 11.00am on the day of departure. If the pitch is not required by a new booking on the day of departure, guests may stay until 5pm that day for an additional fee. All property and refuse must be removed when vacating a pitch. Heathfield Camping reserve the right to move your prebooked pitch to a one of equal or greater size. You will be notified of any changes immediately. If you are staying with other friends on-site, please state this on your booking form as we cannot guarantee pitches together after the booking has been confirmed.

Electric Car Charging

Please note that due to the limited electricity supply to each pitch, it is not possible to charge electric cars on your pitch. Wardens will advise on local car charging points.

Pup Tents & Awnings

These can be accommodated on the pitch provided it does not encroach the 3 metre rule and should be placed next to the main unit. Awnings should be of a size as not to extend into the 3 metre gap. Pup tents and Awnings carry an additional nightly fee. PLEASE NOTE: If using a groundsheet in a Pup Tent/Awning or a Gazebo this MUST be breathable and is a condition of additional covered areas. 

Gazebos

Open sided gazebos can be used as a porch or awning provided they fit onto the pitch and do not infringe the 3 metre rule.  There is a nightly charge for this. Enclosed gazebos are classed as another unit and will carry a further nightly fee. The Wardens will not allow any extension or addition to the main unit of accommodation if it does not comply with the 3 metre rule. PLEASE NOTE: If using a groundsheet in a Pup Tent/Awning or a Gazebo this MUST be breathable and is a condition of additional covered areas. 

Pets

We welcome dogs but it is important they are kept under control at all times and are exercised only in the meadow or off-site. It is the owners' responsibility to clean up after their pet. The Wardens may inform any guest to remove their dog from site if, in their opinion, it is creating a nuisance to others. Please note that we operate a policy allowing 2 dogs per pitch. Only certain pitches allow dogs so please refer to our site plan for more details.

Fires

Camp fires and any exposed naked flames are strictly not permitted. BBQ's are allowed provided they are raised off the ground. Bricks are provided for this opposite reception. A charge of £10 is made if any grass on the pitch is damaged from the improper use of BBQ's.

Disturbances

Noise should be kept to a reasonable level at all times. This particularly applies to audio equipment/instruments. The site barrier closes at 10.30pm and from this time noise should be kept to an absolute minimum out of respect to other guests. Vehicle running & movement is prohibited on-site between 10.30pm and 7.00am, at which time the site barrier will re-open.

Recreation

Please use the games field for all ball and recreational games. Please note that Kite flying in strictly prohibited on-site because of overhead power lines.

Sanitation

When disposing of sanitary items, including nappies, it is important that they are first put into a "nappy bag" and then placed in the receptacles provided, do not flush any such items down the toilet. Only treated waste must be disposed of in the Chemical Disposal Point.

Smoking

We have a No Smoking policy in all of the site buildings.

Children

Children should be under the supervision of their parent/guardian at all times and never be left on the park on their own. Young children should be accompanied when using the toilets and shower facilities.

Speed Limit

There is a strict speed limit of 5mph on the park. Please respect this for noise disturbance and safety of children.

Generators

We regret that generators are not permitted on the park.

Late/Early Arrivals

The site can only accept arrivals after midday on your day of arrival. Strictly by prior arrangement, and for a small charge, customers who wish to arrive early can wait in our check in lane until check in opens at midday. Arrival is not permitted after 7.30pm, for the consideration of other guests.

Responsibility

Heathfield Farm Camping accepts no responsibility whatsoever, for loss or damage to persons or their property arising from the use of the site or its facilities.

 

Other Guest Restrictions

We don't knowingly allow any guest to use or visit our park who: (i) has an unspent criminal conviction; (ii) has an entry on a criminal register (including the sex offenders register); (iii) has any record of any order indicating anti-social behaviour, violence, abuse, public disorder or criminal damage or any other form of anti-social behaviour; (iv) is a convicted sex offender, subject to the notification requirements of the Sexual Offences Act 2003; or (v) is subject to a Risk of Sexual Harm Order or Child Abduction Notice.  If you don't disclose this information about yourself or any other members of yourparty, and it later becomes known to us, we reserve the right to cancel your booking and require that you, and other members of your party, leave the park, without a refund.

Complaints

If guests have a problem or complaint during their holiday, they should, in the first instance, bring this to the attention of the site warden's. It will be dealt with as sympathetically and helpfully as possible. In order for us to investigate and implement corrective action wherever necessary, we cannot entertain complaints made after a guest has left the park.

General

The proprietors/wardens will immediately terminate your holiday contract should any person be involved in conduct prejudicial to the well-being of others. Heathfield Farm Camping shall not be liable for injury, death, loss, damage, accident or additional expense, however caused, occasioned to or incurred by any other guest or other person. All our staff are trained to be courteous and polite to guests, and we expect our guests to extend the same courtesy to our staff. Any person who is rude, offensive or aggressive towards our staff will be required to leave the park and no refund will be given.
